Sensata Technologies, Inc. Sr. Level Administrative Assistant in Thousand Oaks, California
Manage administrative tasks for the Thousand Oaks site and site GM. In addition the role will support Aerospace & Defense Business Unit staff at other locations, primarily Attleboro MA. The Aerospace & Defense BU currently comprises Engineering, Sales, Marketing, Contracts, Customer Services, Product and Program Management functions.
Ensure professional support is provided for all administrative activities of the Business Unit in line with published policies and procedures (as may be amended from time to time).
Provide direct personal administrative assistance to the General
Manager (Aerospace) and general administrative support to the Business Unit and Thousand Oaks location
Develop analytics/scorecards/dashboards/KPI’s for Aerospace BU
Responsible for HEAVY calendar management; requiring interaction with internal/external executives and assistants to coordinate a variety of executive meetings and conference calls
Preparation of expense reports for GM, verifying compliance with published procedure
Arrange professional travel both domestic and international including airfare, hotel, and rental car, etc.
Screen incoming calls, email, and other correspondence and responding independently when possible
Support customer visits to Sensata Thousand Oaks location, including hotel arrangements, visa applications, visitor/ITAR documentation, etc.
Participate in and support departmental and All Employee meetings, publishing minutes and action logs; Pro-actively create, coordinate, assemble, and disseminate documents, presentations and other materials required for meetings
Prepare meeting rooms, establish conference calls for outside employees/attendees, prepare technology for presentations and communication; and communicate the appropriate details to all attendees
Collate and maintain BU performance metrics/data for scorecards and monthly department reports
Oversee departmental adherence to file/document retention standards (including network drives organization)
Obtain and maintain approval records in accordance with Sensata’s Delegation of Authority rules
Oversee a number of general administrative duties including but not limited to:
Arranging for visitor catering needs;
Supporting new staff induction planning/on-boarding, etc.
Supporting employee engagement activities (i.e. monthly site activities, employee committee, suggestion board, etc.)
Coordinating with facilities management in relation to office equipment, furniture, etc.
Maintaining appropriate inventories of office supplies
Manage some purchase order /invoice processes for the Aerospace BU
A successful candidate must have/be:
10-15 years prior “C-Level” Executive Assistant experience;
Bachelor’s degree preferred:
Advanced proficiency with MS Office (Word, Outlook, Excel & PowerPoint) and very tech savvy (Office, Mobile and other technology-video conferencing, telephony, etc.)
Experience using CRM tools (i.e. SalesForce.com) and ERP systems (i.e. JDE, Oracle)
Exposure to lean six-sigma concepts is a plus
Able to maintain a high level of discretion and confidentiality;
Comfortable operating in an entrepreneurial, fast paced, performance oriented environment;
Strong analytical and problem-solving skills;
Able to act autonomously and make decisions with little input or feedback from the GM;
Manage high stress situations and strong personalities while maintaining poise and multitasking under pressure; sense of urgency about tasks or assignments
Prioritize and manage multiple projects simultaneously; follow through on issues in a timely and efficient manner;
Protect the GM from nonproductive tasks and persons while effectively managing his schedule;
Excellent interpersonal communication skills; exceptional verbal and written communication skills. Must be comfortable communicating with a wide variety of people internally and external to the company;
A positive, upbeat personality, high energy, can do attitude; team player
This role at times requires off-hours responsiveness. Must be available after hours and weekends to manage travel, answer questions, etc.;
Polished professional appearance and demeanor, well developed business acumen.
